Small businesses in Kazakhstan should start an employee AI assistant with one recurring task, verified company materials and a clearly assigned owner. Prepare sample questions, restrict data access and run a pilot with human review of answers. Expand use when employees get a useful result they can verify against a source.
Which task should you choose for your first AI assistant?
Look for work where employees repeatedly search for the same information: service terms, product specifications, request procedures or instructions for a new sales manager. A good starting task has a clear input, a limited document set and a verifiable answer. "Introduce AI across every department" does not define those boundaries.
- Requests: prepare a short summary and a list of missing information for the manager.
- Documents: find the relevant instruction section, explain it and show the source.
- Training: work through a typical client question or suggest a product training scenario.
- Internal support: suggest steps from an approved procedure and refer difficult questions to the responsible person.
If ordinary search, a form or a CRM rule solves the problem, start there. AI helps where varied wording and text need to be handled. It will not fix missing instructions, conflicting prices in documents or unassigned responsibilities. First define what result the employee needs and who confirms its accuracy.
Which company materials should you prepare before launch?
Collect a small set of current instructions, product descriptions and answers to real questions. Give each material an owner and a review date. Remove duplicates and archived versions from the working set. When different terms sit side by side without an indication of which is current, an assistant may choose the wrong document and confidently repeat it.
Prepare sample employee requests and expected answers. Include questions with incomplete inputs, ambiguous terms and no available answer. In these cases, useful behaviour means asking for clarification or referring the question to a specialist. Test the ability to stop at the limits of available knowledge alongside the ability to find the right paragraph.
For a team in Kazakhstan, define working languages in advance. If Russian and Kazakh are needed, agree terminology and test the same questions in both languages. Translation must not change product specifications, contract terms or the meaning of instructions. Keep product names and identifiers as the company uses them.
What must not be sent to a public chatbot?
Do not upload passwords, access keys, recovery codes, employee or client personal data, financial documents or commercial terms without an approved processing procedure. Even an apparently harmless file may contain hidden sheets, comments or revision history. For demonstrations, use fictional examples and cleaned materials approved for the chosen service.
Before connecting operational data, establish where it is stored, who can access it, whether requests are retained and how history is deleted. Check supplier terms and applicable Kazakhstan law, including personal data requirements. Decide on hosting with those responsible for data and legal matters, based on the specific information involved.
Employee access to the assistant must not automatically open every company document. Separate materials by role, limit logging of sensitive content and provide for access revocation when an employee leaves. Treat retrieved document text as information, rather than permission to execute a command: an instruction embedded in a file must not grant the assistant new rights.
How can you run a pilot without promising magic?
Describe one work scenario and agree acceptance criteria before connecting the model. Appoint the process owner, the person responsible for materials and the test participants. Employees should know where to ask questions, how to see the source and whom to tell about errors. An initial pilot works best by drafting answers for a person to review, without sending them to clients independently.
- Record the current process: how the employee handles the task and where searching or corrections take time.
- Prepare approved materials and a set of control questions with expected results.
- Set up search, source links, clarification rules and referral of difficult questions to a specialist.
- Let participants perform real, typical tasks and record errors, edits and missing information.
- Review the results with the process owner and decide what to fix before expanding access.
Treat connecting a CRM or accounting system as a separate step. Reading a record, drafting a response and changing a record require different permissions and checks. Start with the minimum necessary access, require confirmation for actions and provide a way to disable the integration. We describe our approach on the AI implementation for business in Almaty page.
How can you measure value and notice problems?
Compare the same tasks with the assistant and with the usual method. Record time to a finished result, including checking and edits, whether the source is correct and whether a colleague's help is needed. Quickly generated text does not by itself mean the employee has finished: correcting a confident error may take longer than searching independently.
Separate the causes of errors. A document may be outdated, search may select a related product, or the answer may add an unsupported detail. These require different fixes. Repeat the control questions after materials change so that a useful answer is not lost in the next knowledge base update.
If answers cannot be checked, employees send unnecessary data to the chat or the process owner is unwilling to maintain documents, stop expanding use. Return to sources, permissions and the scenario. Discussing an AI assistant for your company through the team's actual work is more useful than choosing the most famous model.
What does the GK Uroven example show?
For GK Uroven LLC, we maintain digital services and set up a separate working environment for automation and bots. We built a Telegram bot and an AI assistant for formwork: a knowledge base, consultations, standard answers and separate logic for preliminary calculations. The project grew from a simple prototype and company materials addressing real product questions.
We added training and qualification scenarios: managers study the product, common objections and differences between formwork systems. For the group's Uzbek legal entity, LEVELPRO SYSTEM LLC, we develop in-house ERP and CRM systems and support remote workstations. These activities are described in the GK Uroven support and AI assistant case.
For small businesses, the useful lesson is the starting sequence: choose a specific subject-area task, collect knowledge and connect the tool to employees' work. Begin with recurring questions and the documents the team already uses to answer them. This set helps define pilot boundaries, required access and a result that can be checked in everyday work.
